IntermediateComplexity:Time: 30–40 min

Your task

Build a form for people to submit requests to Valencia’s service desk. Every submitted request must be categorized by topic and priority, summarized for staff, sent to the responsible teamFor this exercise, simulate three city service contacts: sanitation and parks for waste or green spaces; local police for noise; public works/service desk for roads and other or unclear requests. Use your own personal email addresses or aliases for all three., and acknowledged by email.

Your bonus task

Include a suggested reply, written in the same language as the request, in the confirmation email. If the language is unclear, use English.

Example use cases

  • A city support desk receives requests about different services and needs consistent triage before review.
  • An event help desk wants to separate accessibility, venue, and schedule questions automatically.
  • A community inbox needs to identify urgent requests before routine messages.

Before you start

  1. 01

Sign up for n8n Cloud or open an existing n8n workspace, then create a new workflow.

  2. 02

We recommend creating an OpenRouter account: new users receive a small free allowance, and free models are available. Create an API key and follow the n8n OpenRouter credential instructions. Choose a model that supports tools. You can also create an OpenAI account and use OpenAI Chat Model instead. Store your key in an n8n credential.

  3. 03

Sign up for Resend, then follow Resend's SMTP instructions and the n8n Send Email credential instructions. Store the Resend API key as the SMTP password, never in the workflow.

  4. 04

Use your own personal email addresses or aliases to simulate three contacts: sanitation and parks, local police, and public works/service desk. One inbox with three aliases is fine. Use your own email in the form to receive the confirmation too.

  5. 05

Prepare three test requests: a missed rubbish collection, a dangerous hole in the road, and “Something near my street needs attention.” Use fictional details.

What the workflow must do

  1. 01

Every request produces a category, summary, and priority. An unclear request uses other and low unless it states an immediate risk.

  2. 02

The responsible teamFor this exercise, simulate three city service contacts: sanitation and parks for waste or green spaces; local police for noise; public works/service desk for roads and other or unclear requests. Use your own personal email addresses or aliases for all three.’s test inbox receives the original submission and the AI result.

  3. 03

The sender receives a separate confirmation email. Check that the normal, urgent, and unclear test requests reach the appropriate simulated team.
